What counts as written acceptance of a medical case?
Ask the institution to state exactly what it has accepted: review of records, an appointment, conditional eligibility or admission. The response should identify the patient or case reference, department, responsible contact, records reviewed, outstanding tests and next decision. A travel invitation or coordinator’s booking message is not the same as clinical acceptance.
Separate four different decisions
A records review means someone will examine the information. A consultation means an appointment is arranged. Conditional eligibility means specified criteria still need confirmation. Admission means the institution has made arrangements for an inpatient visit, but the clinical plan may still change after assessment.
Ask which of these applies and what could change it. Do not let a coordinator combine them into one label. Where a document is only a visa or travel-support letter, ask for a separate clinical response.
Use a case-specific document checklist
- Patient name or agreed case reference and date of response.
- Hospital legal name, exact campus, department and clinical service.
- Records the team reviewed and any missing pathology, imaging or laboratory reports.
- Proposed next step, who will make the decision and what remains conditional.
- A contact route for questions, language support and appointment changes.
A named physician is useful, but a document containing a name and seal is not self-authenticating. Confirm that the office and clinician are associated with the relevant institution and that the response concerns your case.
Confirm through a second channel
Locate the institution’s official website or registration contact independently of the person requesting payment. Ask the hospital’s relevant office to acknowledge the document reference. You do not need to ask a switchboard operator for a treatment recommendation; ask to be connected to the department responsible for the letter.
China’s National Health Commission provides links to hospital registration services. A registration record supports an identity check, not an evaluation of clinical quality or the authenticity of every message using that name.
Resolve language and timing before booking
If the clinical response is in Chinese, keep the original alongside the translation. Ask which version controls when there is a discrepancy, and have a qualified interpreter clarify technical terms with the clinical team. Do not rewrite uncertain language as “approved” in a summary for the family.
Confirm the response’s validity date, the interval allowed between tests and admission, and whether a change in symptoms or treatment should trigger a new review. Ask who will tell you when it is reasonable to book travel. Your treating clinician should advise on fitness to travel, not an itinerary alone.
A message you can adapt
“Please confirm whether the attached response is an appointment, conditional treatment assessment or admission confirmation for case [reference]. Which records were reviewed, which tests or decisions remain outstanding, and which hospital office should we contact before booking travel or paying a deposit?”
Save the answer with the original document and date. If confirmation is unavailable, keep the case status pending rather than assuming that silence or a payment deadline establishes acceptance.

- Retain original and translated versions.
- Record validity period and conditions for reassessment.

No. Ask whether it supports travel or records an actual clinical decision, and request written clarification of outstanding conditions.
Should I buy flights after a preliminary review?
First obtain the institution’s proposed schedule and your clinician’s advice on travel. Review cancellation flexibility while medical decisions remain pending.
